Free vs. paid booking app - which one do you pick?
"Free" means four different things in booking apps: a 14-day trial, a hidden commission, a plan with limits, or an app that is actually free. What you get in each case, and what the paid option costs you over a year.
The trial period
everything, for 14-30 days, then the account locks
Free with a commission
0 RON a month, 3-5 RON kept from every booking
Free plan with limits
never expires, but you pay at the second staff member or the 11th service
Programări Rapide - 0 RON
unlimited staff, services, locations and bookings, never expires
If you searched for “free booking app”, you probably ran into two kinds of results: pages that promise free and ask for your card on the second click, and pages that really are free but do not say clearly what you are not getting. Neither answers the real question, which is not “is there something free?” but “what do I actually get if I do not pay, and what does it cost me if I do?”.
This article takes the question seriously. We explain what “free” means in booking apps, what you get in Programări Rapide without paying anything and, just as clearly, what the paid alternatives cost you over a year. Then we do a simple calculation, across three industries, so you can see the difference in money.
What “free” means in booking apps
Four kinds of “free” are out there, and they only resemble each other in the headline.
The trial period. You get everything, usually for 14 or 30 days, then the account locks until you pay. It is an honest way to test an app, but it is not a free plan: after a month you either pay or lose access to the calendar, and often to the client list inside it. Many international platforms work this way.
Free with a commission. You pay no subscription, but the platform keeps a sum from every booking made through it. It is the marketplace model, and for a new business it can genuinely be a good deal, because it brings clients. “Free” is only the monthly invoice, though; the cost shows up on every booking and grows with you. We compared this model at length in Programări Rapide vs other booking apps.
The free plan with limits. The app has a plan that never expires and costs nothing, but stops somewhere: at the number of staff, services or features. You pay when you cross the limit, and you usually cross it because things are going well: the second staff member, the second location, the page in your colours. It is the most common model among subscription apps.
The free app. Everything, for everyone, with no expiry date and no paid plan above it. This is where Programări Rapide sits today, and the rest of this article is about what you concretely get and what the same thing would have cost you in the other three models.
What you get for free in Programări Rapide
It is not a demo version of the app; it is the whole app. Concretely, you get:
- unlimited bookings, genuinely: there is no threshold of 20 or 50 bookings a month after which you are sent to pay
- unlimited staff, each with their own calendar, working hours and personal booking link
- unlimited services, each with its own duration and price, grouped into categories, with variants and packages
- unlimited locations, with hours and a team on each address, in one account
- the public booking page, in your colours and with your logo, where the client picks their own time, with no account and no app to install
- your own domain, like bookings.your-practice.com, with SSL enabled automatically; until you connect it, you have a link of the form your-business.programarirapide.ro
- automatic email notifications: a confirmation right after the booking, reminders 24 hours and one hour before, cancellation and rescheduling messages
- the calendar by day, week and month, per staff member and per resource, with breaks and days off
- client records with booking history, created on their own at the first booking, with import from a list and export at any time
- reports on revenue, occupancy and services sold, exportable to CSV, Excel or PDF
No card, no expiry date. A psychologist with a solo practice has five services: individual, couples, online, assessment and coaching, all recurring, each with its duration and price, and needs nothing more.

The same app, just as free, is enough for a barbershop with three chairs, a dental practice with two sites or an auto repair shop with four lifts. What matters is not the size of the business but that it takes bookings.

What the same thing would cost in a paid app
This is the part the “free” pages usually leave in the fog, so we say it plainly, model by model.
On a free plan with limits, the list above usually stops at one staff member and ten to twenty services. The second person costs, in the subscription apps on the Romanian market, between 50 and 100 RON a month; the page in your colours and your own domain, about as much again; the second location, a plan of a few hundred RON a month. Over a year, a barbershop with three chairs ends up at 600-1,200 RON, and a practice with two sites at over 1,500 RON.
On an international platform, you pay from day one, a few tens of euro a month, usually per staff member or per location. A team of three easily reaches 100 euro a month, close to 6,000 RON a year, for features you use half of.
On a marketplace with a commission, you pay nothing monthly, but 3-5 RON leave with every booking. At 200 bookings a month that is 600-1,000 RON a month, 7,000-12,000 RON a year, and the sum grows exactly when things are going well.
None of that happens in Programări Rapide. There is no threshold of bookings, staff or locations, and no feature that “stops” after a month.
The simple calculation: what is one appointment worth to you
When you compare “free” with “49 RON a month” or with “5 RON per booking”, the right question is not “is that a lot or a little?” but “what is one appointment worth to me?”. Because that is the unit in which any booking app is really paid for.
| Industry | A typical appointment | Its value | What you pay a year, at a 5 RON commission and 100 bookings a month |
|---|---|---|---|
| Barbershop | haircut and beard | 80 RON | 6,000 RON, that is 75 haircuts |
| Dental practice | check-up and scaling | 300 RON | 6,000 RON, that is 20 check-ups |
| Auto repair shop | service, labour | 400 RON | 6,000 RON, that is 15 services |
In other words: an app with a commission costs you, in any industry, between two and six weeks of work a year. A subscription of a few hundred RON a month, on an international platform, about the same. And the difference between those and zero is not a discount; it is the appointments you keep.
What you gain from a booking app comes, in turn, from two places, whatever you would pay for it. The first is the hours when you are not answering the phone: most online bookings come in the evening and at the weekend, and once every staff member has an online calendar, their clients book themselves in exactly those hours. The second is appointments the client never shows up for: email reminders go out for every staff member, and a dental practice with two dentists and two missed appointments a month each recovers, if the reminders save just one in four, 300 RON a month out of nothing.
How to choose, in three questions
You do not need a spreadsheet. Answer three questions:
- Do you already have clients who come back, or are you just opening? If you are just opening and nobody knows you, a marketplace with a commission can be worth it, for a while, for the clients it brings. If you already have a list, you are paying commission for nothing.
- Do you need something only an international platform has? Integrations with a particular till system, SMS in dozens of countries, a catalogue of thousands of apps. If not, you are paying for a catalogue you never open.
- How many people, how many services, how many locations? In Programări Rapide the answer changes nothing: as many as you like, for free.
If the answers point you to a free app, use it with a clear conscience: it is not a cut-down version but the full app, for one person or for a team.
Start free, stay free
The natural order is this: you create your account, put your booking page on Instagram and Google, let the reminders go out on their own, and watch your week fill up in the calendar. The day you hire someone, you add them, with all your history in place. There is nothing to migrate, nothing to set up again and nothing to pay; you add a person and that is it.
What else the app can do for a practice, a repair shop or a salon is on the client booking page. And if you are still not sure a booking app is what you need, whatever the price, the guide to choosing one starts from the seven things that really matter, of which price is only the fifth.
Frequently asked questions
Is there a free client booking app, with no trial period?
Yes. Programări Rapide is entirely free, never expires and needs no card: unlimited bookings, as many staff and services as you need, a public booking page, your own domain, automatic email notifications and reports. It is the same app for a psychologist with a solo practice and for a salon with eight stylists.
What happens when the business grows? Does a paid plan appear?
No. There is no threshold of bookings, staff or locations after which you are sent to pay. You add the second person, the second address or the fiftieth service and everything keeps working, for free. Should we ever introduce paid features, they will be optional and announced in advance, and everything that is free now stays free.
Can I leave at any time, with my data?
Yes. There is no subscription, minimum period or penalty. Client records and reports export at any time to CSV, Excel or PDF, and the account is deleted with one click from settings, with everything in it.
Why would a booking app be free? Where is the catch?
There is no catch. We take no commission on bookings, sell no data and show no ads on your page. The app is built by a team in Romania that uses it as a showcase of what it can do, and every business that puts its booking page on Instagram shows it to a few hundred more people. That is the whole model.
